In a given week, your responsibilities range from updating financial models, to scheduling with external partners, to tracking inventory movement, to prepping decks for a marketing meeting. How do you prioritize and execute when everything is urgent?
When everything feels urgent, I rely on a mix of structured planning and clear communication to stay on top of it all. I start by identifying which tasks are both time-sensitive and impact-driven—what’s due first, what affects others’ work, and what needs approvals or dependencies. I usually break everything down into a checklist or planner, set mini-deadlines, and batch similar tasks when possible to stay efficient. For example, if I need to update a financial model and also prepare a marketing deck, I’ll block out focused time for each, starting with whichever is due sooner or requires input from others. I also check in with teammates or supervisors to make sure priorities are aligned—sometimes what feels urgent can shift once there’s clarity. I’ve found that staying calm, flexible, and organized allows me to work efficiently without letting anything fall through the cracks, even during high-pressure weeks.

Tell us about a time when maintaining accurate data was crucial to your role. How did you ensure the data stayed clean, up to date, and aligned across systems or teams?
At my previousinternship at Elevate Miami Properties, maintaining accurate leasing and resident data was essential, especially during the busy leasing season. We had to keep track of dozens of prospects, lease statuses, move-in dates, and payments—any discrepancies could cause confusion for the team and frustration for tenants. To ensure the data stayed clean and up to date, I took the lead on managing our shared leasing tracker. I standardized how information was entered, created a naming convention for files and tenants, and regularly cross-referenced our spreadsheet with digital lease agreements and emails to make sure everything aligned. I also communicated frequently with team members to confirm updates were recorded in real time and no steps were missed. By staying organized and proactive, I helped reduce double bookings, missed follow-ups, and administrative errors. It made a noticeable difference in how smoothly we operated day to day.

Walk us through a time when you built or managed a complex spreadsheet system to track operational or financial data.
During my time as an Administrative Operations Intern at Elevate Miami Properties, I built and managed a multi-tab spreadsheet system to track leasing activity and resident data across multiple student housing properties. The goal was to streamline our process during peak leasing season. I created separate tabs to monitor showings, applications, lease signings, and unit availability, and implemented color coding and filters to make the data easy to navigate for the rest of the team. I also added formulas to automatically calculate conversion rates and track performance by week. This allowed us to quickly identify trends, adjust marketing strategies, and follow up with leads more efficiently. The system ended up being adopted by the full-time staff even after my internship ended, and it helped us stay organized and lease units more quickly.
