In my role as an Office Assistant at American Fire Life Safety Solutions, I provided direct administrative support that mirrors the responsibilities of an executive assistant. I managed account data in Microsoft Excel, drafted reports for the Los Angeles Fire Department, and coordinated technician schedules using Outlook. I also served as a point of contact for clients, handling inquiries and ensuring service needs were met efficiently. This experience required strong organization, time management, and communication—skills essential for supporting high-level professionals. Additionally, in my leadership roles within Delta Delta Delta, I managed recruitment logistics, implemented wellness programs, and executed communication strategies across multiple stakeholders. These experiences strengthened my ability to balance priorities, maintain confidentiality, and support organizational leadership, making me well-prepared for an executive assistant position.

How do you prioritize tasks when supporting multiple executives?

When supporting multiple executives, I prioritize tasks by first understanding each individual goal, the communication style of each executive, and the level of urgency needed per task. I start my day by reviewing all requests, deadlines, and meetings, then I determine which tasks are time-sensitive or most important. I use tools like shared calendars, to do lists, and handwritten notes to stay organized and transparent. I also like to check in regularly with each executive to make adjustments as needed and to make sure nothing has changed. This helps ensure I’m always aligned with what’s most important and that i can make sure to complete all of my tasks by end of day and in a timely manner.
